Job Summary

The Department of Pediatrics is seeking a highly motivated and organized Faculty Affairs Coordinator. This role is integral to our team and involves coordinating essential functions related to faculty affairs, recruitment, event planning, and general administration. The ideal candidate will demonstrate an ability to manage multiple responsibilities effectively with a high level of precision and confidentiality.

This is a hybrid position, with the expectation of at least two days per week on-site.

Responsibilities*

Faculty Affairs Coordination:

  • Coordinate faculty credentialing, onboarding, reviews, and the faculty leave program via Qgenda.
  • Ensure accuracy and compliance with university and department guidelines.

Faculty Recruitment:

  • Oversee department-level faculty recruitment processes from inception to completion.
  • Maintain and monitor search timelines, ensuring efficient progress according to established schedules.
  • Track and report on the progress of faculty searches to departmental and divisional leadership.
  • Exercise independent judgment to enhance and optimize recruitment processes.
  • Provide logistical support for visitors and donors, including travel and hotel accommodations.

Event Planning:

  • Serve as the primary coordinator for the planning and organization of special events, symposiums, and receptions sponsored by the Department of Pediatrics.
  • Plan and execute department-sponsored events such as the Holiday Party, faculty dinners, DEI initiatives, and special faculty professorships.

General Administration and Procurement/Financial:

  • Initiate, process, and monitor various university, hospital, and department forms, including purchase requisitions, journal entries, travel and business hosting expenses, tuition reimbursements, procurement requisitions, etc.
  • Process purchasing orders and review and approve carts for Pediatric Admins.
  • Reconcile P-Card statements.

Additional Support:

  • Provide backup support to the Executive Assistant in the Office of the Chair.
  • Serve as a liaison between administrative staff, faculty, co-workers, and visitors, responding to or routing inquiries and complaints as appropriate.
  • Perform other duties as assigned.

Required Qualifications*

  • Bachelor's degree in business administration, education administration, or a related field
  • Previous experience in an academic or healthcare setting.
  • Strong organizational skills and ability to manage multiple tasks with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and experience with Qgenda or similar software.
  • Ability to work independently with minimal supervision and as part of a team.
  • Experience with event planning and logistics coordination is highly desirable

Modes of Work

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
